Privacy Policy
CubiEdu uses CubiEdu's ERP platform, website, admin portal, and mobile app to manage academic, administrative, transport, and communication workflows.
Information We Collect
We may process student, parent, guardian, teacher, staff, attendance, timetable, exam, homework, admission, transport, library, document, and communication information required for school operations.
This can include names, class and section data, admission numbers, phone numbers, email addresses, addresses, date of birth, attendance records, academic records, communication history, and consent records.
If a user chooses a profile photo, the mobile app stores that selection locally on the device. Homework attachments, chat messages, support requests, contact details, support categories, messages, and basic device/browser information are transmitted only when the user submits the relevant feature.
Why We Use This Information
We use the data to run the school ERP, maintain records, communicate with parents and staff, publish notices, generate report cards, track attendance, manage transport and library operations, and support security and audit requirements.
We also use limited technical and security logs to protect accounts, investigate issues, and maintain service continuity.
School Fee Payments and Receipts
When enabled by a school, CubiEdu opens the school's hosted payment provider for tuition and other real-world educational services. Payment credentials such as card numbers, bank details, UPI credentials, or wallet credentials are entered with that provider and are not stored by CubiEdu.
CubiEdu receives and retains the amount, school fee reference, provider order or payment reference, verification and refund status, and receipt details needed to maintain the school ledger and show payment history.
Messaging and Service Providers
Transactional communication may be sent through email, push notifications, WhatsApp, or SMS providers when enabled by the school and where consent or lawful operational use applies.
Push notification tokens may be stored so the platform can deliver school alerts, notices, homework updates, and account-related messages to the correct logged-in user.
If a user requests AI performance analysis, linked academic, attendance, homework, leave, and recent teacher-message data is sent through the configured AI processor to produce the requested analysis. CubiEdu does not use this information for advertising or cross-app tracking.
Mobile App Permissions
The mobile app may request notification permission to send school alerts and account updates. It may request photo or media-library access only when a user chooses to upload or update a profile image.
The app does not use permissions to sell personal data, track users across unrelated apps, or access information unrelated to school operations.
Data Sharing and Access Control
Access is role-based. Admin, accountant, teacher, parent, student, librarian, and transport roles are intended to see only the data required for their operational tasks.
We do not sell student or parent personal data. Information may be disclosed where required by law, school governance, child safety workflows, or regulatory compliance.
Retention, Correction, Deletion, and Rights
Records are retained as long as required for academic administration, school operations, audit, dispute handling, legal compliance, and child record continuity, unless a shorter retention period is legally required.
Parents and eligible users may request correction of inaccurate records and may contact the school to request access, export, or clarification of the data held in the ERP.
Authenticated mobile users can initiate account deletion from Privacy & Security. Requests are acknowledged immediately and completed within 30 days. Login credentials, sessions, push tokens, and deletable personal or user-generated data are removed; some records may be retained where required for academic, financial, child-safety, dispute, audit, or legal obligations.

Security and Children's Data
The platform uses authenticated access, role checks, audit trails, and operational safeguards to protect school records. No system can guarantee absolute security, but reasonable technical and operational safeguards are maintained.
Because this is a school platform, much of the processed information relates to minors and is handled strictly for educational and institutional operations.
